Summary: Reporting to the Director of Athletics. The Associate AD for External Operations is responsible for developing and facilitating development operations for the Buc Club and corporate sponsorships. The Associate AD for External Operations is also responsible for management and advancement of ticket operations and for oversight of the Athletics Marketing department including branding, promotions, game experience, etc. Supports the Director of Athletics in strategic initiatives and goals for sponsorships and community relations. Nights and weekend work required as needed. Must be able to lift and carry up to 75 lbs.
Work Performed:
SENIOR STAFF LEADERSHIP: Provide high-level management to assigned areas of responsibility and take initiative to lead research and develop projects and concepts that are designed to advance intercollegiate athletics programming and services. Collaborate with Director of Athletics and other unit leaders to advance the external goals/mission/core values of the University and department. Demonstrate high-level of confidentiality and discretion. Utilize advanced communication skills, demonstrate ability to respond well to multifaceted and complex situations, and display incisive diplomacy and advanced tact when dealing with complex issues. Represent the department at various events and engage in significant participation on committees and events for the enhancement of unit goals/objectives. Interact with mid-to-upper-level University managers and VPs, various external constituents, and serve as a liaison to various units.
FUNDRAISING/DONOR RELATIONS: Demonstrate high level of expertise with and knowledge of the University donor database system and related procedures. Assists the Director of Athletics with plans, procedures, and initiatives for revenue generation opportunities. Provide highly skilled management and thorough analysis of designated gifts and pledges. Cultivate relationships with existing Buc Club members and University donors. Solicit new Buc Club members annually. Review and approve all fundraising strategies proposed by coaches and department employees. Monitor gift pledges and payments made to Buc Club and capital projects. Oversee Buc Club hospitality at Football and Men’s Basketball games.
EXTERNAL EVENTS: Oversee annual Buc Club golf tournament and donor trips with Football, Basketball and other sports as needed. Management of the Graduway online giving platform.
TICKETS: Oversee contract agreement with TicketReturn. Develop ticketing strategies. Plan ticketing packages and season tickets annually. Onsight supervision of Ticket Office at all ticketed sporting events. Ensure player pass lists are submitted to Compliance before event. Submit Admission Tax paperwork to the South Carolina Department of Revenue monthly. Administer tickets to season ticket holders prior to each respective season. Submit employee complimentary ticket report to Human Resources on a consistent basis. Coordinate and reserve EPI ticket takers and security team members for all ticketed home events.
SPONSORSHIPS: Plan, negotiate, develop, and/or implement sponsorship agreements annually. Oversee courtesy car program for department. Manage and maintain relationships for the Ambassador program.
OVERSIGHT OF MARKETING/PROMOTIONS/GAME EXPERIENCE: Supervisor of Athletic Marketing/Promotions/Game Experience. Oversight of branding policies and procedures for the department both internally and externally. Review and approve all marketing plans for each sport prior to each respective season. Coordinate Lowcountry Appreciation Days with Director of Athletics annually.
Perform other related duties incidental to the work described herein.
Experience: Applicants must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service. Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices. 3-5 years’ experience in a related field. Must have excellent written and verbal communication skills. Must be computer literate with a working knowledge of Windows and MS Office, and the ability to quickly learn and work with new computer software systems. Must be able to work effectively independently and as part of a team.
